Customer Data: In the course of providing services, we may process personal information of your customers (names, phone numbers, email addresses, appointment details) on your behalf as a data processor. You remain the data controller for your customers’ information.

Usage Data: We collect technical information about how our platform is accessed and used, including IP addresses, browser type, and interaction logs, to maintain and improve our services.

2. Call Recording Disclosure

By using our AI voice receptionist service, you acknowledge and agree that calls handled by the ScaleSync AI system may be recorded. You are responsible for ensuring that your customers are informed of call recording in accordance with applicable federal and state laws, including two-party consent states. ScaleSync can configure an automated disclosure message at the start of each call upon request.

3. How We Use Information

We use the information we collect to: configure and operate your AI system; deliver, maintain, and improve our services; send appointment reminders, follow-up messages, and review requests on your behalf; provide customer support; comply with legal obligations; and detect and prevent fraud or misuse.

4. Data Sharing

We do not sell your data or your customers’ data. We may share information with trusted third-party service providers (such as GoHighLevel, telephony providers, and cloud infrastructure partners) solely to deliver our services. All third parties are bound by confidentiality obligations. We may disclose information if required by law or to protect our legal rights.

5. Data Retention

We retain call recordings, transcripts, and customer data for as long as your account is active or as needed to provide services. Upon termination of your account, data is retained for 90 days before deletion unless you request earlier removal or applicable law requires longer retention.

We implement industry-standard security measures including encryption in transit and at rest, access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
